EA to the Chief Operating Officer

To provide the Chief Operating Officer with close personal and collaborative support in the performance of his role, acting for him in his absence and running some projects and processes autonomously.  To manage the flow of information between the Chief Operating Officer and Departmental Managers and coordination of projects involving multiple managers across various departments.Dur to the project nature of the role and the events side to the business, a flexible approach to the working day may be required on occasion. 


  • To develop an understanding of the strategic needs and direction of the business to support the Chief Operating Officer
  • To manage projects both with and on behalf of the Chief Operating Officer and in collaboration with colleagues
  • Manage the Chief Operating Officer's time and diary commitments
  • To anticipate the Chief Operating Officer's needs, and to support him to perform at the highest level and achieve targets
  • Devising and maintaining an efficient office administration system, including correspondence, documents, data/email management and filing
  • Arranging travel, visa's and accommodation
  • Screening phone calls, enquiries and requests, and handling them when appropriate
  • Meeting and greeting visitors at all levels as well as liaising with peers and senior staff at external organisations
  • Support the Chief Operating Officer in filtering incoming communication, emails and post, often corresponding on behalf of the Chief Operating Officer and liaising with colleagues to do so
  • Producing documents, briefing papers, reports and the organisation of meetings in an efficient manner, including proactively arranging papers ahead of meetings 
  • Preparation of board packs for and attendance at Ascot Hospitality Board, Ascot Racecourse Estates Ltd (AREL). Ascot Racecourse Property Developments Ltd )ARPDL) and Executive Management Board (EMB)
  • Developing effective working relationships with key personnel from across the business e.g. Trustees, Directors, PA/EA to Directors, Heads of Departments etc. including liaising with clients, suppliers and other staff
  • Ad hoc duties which require a common-sense attitude and an ability to be flexible and confident when dealing with visitors, customers, senior management and colleagues


  • Attendance on weekday race meetings will be required and weekend raceday attendance will be required from time to time
  • Coordination of projects involving multiple managers across various departments
  • Responsibility for management of the Chieft Operating Officer's expenses, filing and general administration
  • Ad hoc duties to cover sickess and/orholiday periods for the other PA/EA's
  • Such other ad hoc duties as the Company may, at times, reasonably require


  • Senior level PA/EA experience
  • Proactive, helpful personality
  • A high standard of education with strong English Language skills
  • Advanced knowledge of Microsoft Outlook, PowerPoint, Word and Excel
  • Copy and audio typing
